What is FICA (Federal Insurance Contributions Act)?

FICA is the reason a chunk of every paycheck disappears before an employee ever sees it. It funds Social Security and Medicare, and both the employee and the employer chip in. The employee's share gets withheld automatically, and the business matches it dollar for dollar.

Take someone earning $1,000 in a pay period. A set percentage comes out for FICA right away, and the employer pays a matching amount separately. Social Security has a yearly cap, so once someone's earnings pass a certain point, they stop paying into it for the rest of the year. Medicare doesn't work that way. There's no ceiling on it.

Doesn't matter what kind of business you run a restaurant, a clinic, a retail store, a manufacturing floor. If you have employees, you're dealing with FICA. And it's not only about pulling the right amount out of each check. That money has to be sent to the government on time, and it has to be reported correctly. The more people you hire and the more locations you open, the easier it is for this to slip through the cracks if you're tracking it by hand. That's usually the point where payroll software takes over, running the calculations in the background and keeping everything ready when tax season rolls around.
